Q What is an Account Holder?
A Anyone who signs up for a docsontheweb contract gets ad-ministerial rights enabling them to.
  - Upload limitless amounts of image files.
  - Create up to five distinct search/index criteria.
  - Create an unlimited amount of users.
  - Limit users' access to uploaded images through search filtrers.
  - View account information, statistics and usage.

Q How do I manage the images I post onto docsontheweb?
A Each docsontheweb Account holder has complete control of what is uploaded and how it is accessed by your users. As the Account holder you can then select up to five search criteria with which your users can retrieve specific scanned images relevant to them. Common search/index fields include Customer (which is commonly used to restrict users access to only those images relevant to them), Date, Job Number, Customer reference, Order number or Post Code.

Q How many users can we have?
A There is no limit to the number of users an administrator can have. One current customer has in excess of 340 users.

Q Will users have access to all of our uploaded images?
A No, as the account holder you can filter images to your users by simply setting up customer sensitive search criteria. As the administrator you can give your customers access to uploaded images by assigning them a customer name, username and password.

Example:
Each of your users will be given a unique Customer name. When indexing images the customer name can be used as a filtration device to maintain that users only view images stored in your online account relevant to them. Therefore, if customer 'Smith1' logs onto docsontheweb and the administrator has used the customer name as a filter, they will only ever be able to view documents with 'Smith1'

Q Will my other users be able to see images which don't relate to them?
A No, so long as the customer specific filters are employed users are limited only to images specified by the administrator.

Q How can uploaded images be accessed or searched for by our users?
A As the Account holder you can index your images by as many as five distinct search criteria. Typical index fields include Customer (which is commonly used to restrict users access to specific images), Date, Job Number, Customer reference or Post Code. Once these fields are assigned users can search by as many search criteria as you allow.

Q What uploading options have I got?
A There are two ways to upload images to the site.

Manually - Every time you have images to upload simply logon as the administrator, select the upload button and the images you wish to upload and let docsontheweb do the rest.
Automatically - Download the uploader.exe from docsontheweb and periodically the program will access the designated image repository in your system and upload any new images together with thier search criteria.

Q Do we have to index every image against all five search criteria?
A No, many administrators simply use a consignment note number along with a customer name as a filtration device.

Q Do I have to index every image I upload?
A Although all images need at least 1 index field as long as the document management software you use employs the same index fields as your default docsontheweb search fields the system will automatically filter all images via their specific index fields.

Q What images types and formats does the site support?
A You may upload any type of image file including jpeg, tiff, pdf, bmp, png, gif however the contents of the file must comply with our usage agreement.

A Yes all uploaded images are backed up daily with media taken offsite.

Q What are your monthly bandwidth/data transfer limitations?
A A. We have no bandwidth or data transfer limitations, you may use the docsontheweb.com service to upload and download data from your account as much as you like! Subject to our usage agreement limitations.

Q How long will my images be accessible on the site?
A Images are typically hosted for three months from date of upload. However, should you wish images to be available for longer there is a small per Mb per month fee calculated and added to your account..

Q If I accidentally delete a file can you retrieve it for me?
A Yes if you accidentally delete data that you have stored on your account, please contact support to discuss possible retrieval of this data.

Q Will I be able to keep track of what I've uploaded in any given month?
A Yes, by signing in as an Account holder you can then go to the 'Statistics' page. The statistics page displays a month-by-month history of how many documents have been uploaded along with the total size of the uploads and statistical information regarding individual file sizes.

Q What's the cost of uploading images to the site?
A 1 image up to 100 Kb in size* and available for 3 months will cost 0.8p. Therefore 1000 images uploaded would cost £80.
Images over 100Kb are charged for the additional bytes above 100Kb will be charged at ??? per Mb
Images/documents kept longer than the standard 3 months will be charged ??? per Mb per month

* Average A4 black and white image is around 50Kb

Q What is a User?
A docsontheweb acts as a portal on which administrators can post images for their users to access. By entering their customer, username and password users can, - Search for specific documents using up to five distinct search criteria. - Download, e-mail or print images directly from the site.

Q How do I access images?
A On the logon page enter your Customer name, Username and Password. A new screen will appear with a number of search criteria for you to choose from.

Q How do I find a specific document/image?
A Depending on the level of access you Account holder has granted you, searches can be honed down using two or more search criteria. Certain search criteria, such as date searches are quite general and will retrieve every image pertaining to you from any given day. Whereas more specific searches e.g. consignment number will only retrieve the image associated to that number.
